01The problem

A hiring cycle of 100 to 150 candidates run over email and a spreadsheet consumes a recruiter almost entirely in coordination — acknowledgements, scheduling, reminders, rejections — leaving very little time for actual assessment. Candidates fell through gaps, and nobody could say at a glance how many people were sitting at each stage.

02What we built

A kanban pipeline where each stage carries its own automation: application acknowledged on arrival, interview invitation and calendar hold sent on stage move, reminder fired the day before, and a written outcome sent on every terminal decision — including rejections, which is where most processes go quiet. Bulk actions handle stage transitions for whole cohorts. Stage-wise counts and time-in-stage are visible on the board, so a bottleneck is obvious rather than inferred. The measured result was roughly a 70% reduction in manual coordination effort per cycle.
